Position Description

We are seeking an outgoing, positive, compassionate, and detail-oriented person for our Client Relations Coordinator/Legal Assistant position.  If your soul is fed by making a positive impact on people’s lives and nurturing relationships, you may be interested in this position.  The ideal candidate is highly organized and dedicated to providing our clients top-notch service.

  • ·       Establish a professional, warm and welcoming environment for new and existing clients
  • ·       Answer potential client inquiries by phone and email
  • ·       Screen calls by understanding the potential client’s needs and determining if our firm can provide a solution
  • ·       Perform initial client intake and onboarding
  • ·       Schedule client appointments and follow up
  • ·       Manage potential client and client workflow using the firm’s CRM and case management cloud software
  • ·       Respond to client phone calls and emails
  • ·       Coordinate responses with attorney if appropriate
  • ·       Print estate planning documents and prepare binders/folders, scan documents
  • ·       Serve as contact for professional referrals and community partners
  • ·       Schedule attorney coffee/lunch appointments with other professionals
  • ·       Establish follow up system for referral sources and professionals
  • ·       Schedule attorney workshops and follow up with participants
  • ·       Format and send e-newsletters
  • ·       Manage relationships with vendors and service providers
  • ·       Maintain list of office supplies and marketing materials and order when needed
  • ·       Assist with maintaining firm culture of respect, joy, and compassion for clients 


  • ·       Minimum of 3 years of professional office experience preferred
  • ·       An Associates or Bachelor’s degree preferred
  • ·       Must be proficient in Microsoft 365, including Word, Excel, PowerPoint, Outlook and Adobe Pro
  • ·       Ability to quickly master case management and document assembly programs
  • ·       Experience with Clio and document assembly programs a plus
  • ·       Must have excellent written, verbal and interpersonal communication skills
  • ·       Accurately type at least 60 wpm, with impeccable grammar and spelling
  • ·       Must be a “people person” with the ability to interact well with different personalities
  • ·       Ability to create long-lasting relationships between our firm, our clients and our community
  • ·       Thorough attention to detail and accuracy
  • ·       Discretion to maintain confidential information
  • ·       Understand and comply with ethical rules
  • ·       Demonstrate an ability to work in a cooperative, positive manner with other staff, attorneys and clients
  • ·       Highly organized with the ability to multi-task and work with interruptions
  • ·       Proven compassion for people with disabilities or the elderly
  • ·       Must be a notary or eligible to become a notary
  • ·       Positive, friendly attitude
